Corporate social responsibiltiy is fast becoming an expectation for organizations that plan corporate meetings or association conferences. So for those who may not be familiar, a few ideas can go a long way. If you're considering ways to turn your program into a green meeting, it doesn't have to be viewed as complicated. Simply adopt a few strategies and you can be on your way to eventually measuring the impact and showing a return on investment. But these tips will get you started if you're interested in sustainable events.

1. Sustainability Incorporated into Hotel Contracts

It's one thing to discuss sustainability or any other element of a program with suppliers, it's another to put your expectations in writing. Elizabeth Henderson, CMM, CMP, director of corporate responsibility for Meeting Professionals International, Calgary, Canada incorporates sustainability expectations into all hotel contracts for MPI programs. Wouldn't you like to see sample hotel addendum language you should consider? What does Henderson expect? Examples include:

  • Recycling in guest rooms and common areas for glass, aluminum, plastic, paper and pallets.
  • Towel/linen re-use program.
  • Do not replace amenities unless empty.
  • No polystyrene.
  • Sustainable seafood.
  • Shade grown coffee.



2. Sustainable Hotel Services

Whether it’s a morning seminar or a multi-day corporate conference, hotels are the most popular venues for meetings. So it’s reasonable to expect hotels to take the lead with identifying sustainability initiatives for corporate and social events. Julie Klein, director of environmental affairs for RockResorts, Vail, CO, explains that examples of sustainability at hotels include conserving energy and water, sourcing food locally, and relying on environmentally-friendly cleaning products, among others.

3. Sustainable Food & Beverage Recycling

It is possible to plan food and beverage so that you’re reducing the waste that’s created from meetings and events. MPI's Henderson recommends practical, sustainable ideas that can make a difference include using china and other reusable items for food service, serving condiments in bulk containers, and donate leftover food, among others.

4. Environmental Volunteer Programs at Conferences

Have you started to notice a trend that volunteer community activities are appearing at the beginning or end of conference agendas? Frequently scheduled prior to the opening reception, many association and corporate meetings are now incorporating green environmental events at nearby food banks, shelters and other community organizations. It serves as a great team builder for attendees, and they usually last only a few hours. But the work is important and it leaves a lasting impression.

5. Sustainable Corporate Transportation

Critics claim that transportation is one of the biggest violators of sustainability, and every meeting and event planner knows that it takes transportation to have their attendees even show up at the event. So what can be done? Suggestions for sustainable transportation include choosing destinations that are centrally located for attendees, require short transfer times if walking isn’t an option, and hiring ground transportation providers who consider the types of vehicles that adopt hybrid and other sustainable technologies.

6. Event Venues Adopt Sustainable Options

Similar to hotels, event venues should be adopting initiatives related to energy efficiency, waste reduction and other environmentally-friendly options. MPI’s Henderson that it’s possible to know whether a venue is genuine about its sustainability efforts if they have a sustainability policy in place, training for their staff, current action plans, certifications, and a willingness to commit to sustainability on paper.
